Overview

All travel services are offered by Bhutan Holiday Trips, officially licensed under the Royal Government of Bhutan (License No. 1042097). By proceeding with a booking, you confirm your understanding and acceptance of all terms outlined here.

Tour Pricing and Currency Options

Our tour prices are quoted in USD but can be paid in alternate major currencies such as EUR, GBP, and JPY, using the current exchange rate at the time of payment. Guests requesting single-room occupancy will incur a supplemental fee.

Reservations and Payment Structure

To confirm your reservation, you must pay either a 30% deposit or the full amount upfront. Then, you need to settle the remaining balance at least 45 days before arrival, either in advance or upon arrival in Bhutan, as agreed. Additionally, some premium luxury packages require full payment in advance, and we will clearly inform you of this beforehand. Finally, once we confirm your trip, we guarantee the quoted price.

Traveling with Minors

All travelers below 18 years must be accompanied by a responsible adult. Adults accompanying minors are fully accountable for the child’s behavior, safety, and compliance with all tour conditions throughout the journey.

Flights and Air Travel

Airfare, whether international or domestic, is not included unless specified. When we help book flights, we act only as intermediaries, and airline terms apply. Therefore, we do not take responsibility for fare changes, delays, or route changes.

Passports & Entry Permits

It is essential that your passport is valid for at least six months from the date you plan to travel to Bhutan. We handle your Bhutan visa and internal permits. However, obtaining travel documentation for other countries you plan to visit remains your responsibility. We are not accountable for denied entries due to missing or invalid documents.

Tips and Gratuities

Tips for your guides, drivers, or trekking crew are not included in the tour price. They are appreciated but entirely optional and based on your satisfaction.

Tour Adjustments by Bhutan Holiday Trips

If unexpected developments arise such as natural events or other unavoidable circumstances, we may need to adjust itineraries or services. Any substantial changes will be communicated promptly when time permits.

Client-Initiated Change

Should you wish to amend your travel plan, please send your request in writing. While we do our best to meet such requests, we cannot guarantee availability. Any added costs that arise from the requested changes will be your responsibility.

Cancellations & Refunds

Cancellations must be made in writing and will be subject to the following refund structure, based on the date the notice is received: • 45+ days before trip: Full refund • 30–44 days: 80% refund • 20–29 days: 50% refund • 15–19 days: 30% refund • 0–14 days: No refund Please note that any transfer fees or bank charges for refunds are borne by the client. Luxury hotels and airlines may have stricter or different cancellation rules. Contact us for specifics.

Holiday Periods and Special Events

During major Bhutanese festivals, holidays, or religious events, access to services and attractions may be limited. If certain venues are closed or changes are needed, we’ll offer suitable alternatives where possible. Bhutan Holiday Trips is not responsible for such closures or changes due to external factors.

Liability Disclaimer

While we do our utmost to ensure your safety and comfort, travel inherently involves some risk especially in remote or high-altitude areas. Risks may include travel delays, political unrest, natural events, or limited medical access. By joining our trips, you acknowledge these potential hazards and agree that we are not liable for them.

Insurance Requirements

Trip prices exclude insurance, so all travelers must arrange their own travel insurance before departure. The policy should cover cancellations, medical care, emergency evacuation, baggage loss, and other travel disruptions. If needed, Bhutan Holiday Trips can help arrange a local policy before your trip.
