Our tour prices are quoted in USD but can be paid in alternate major currencies such as EUR, GBP, and JPY, using the current exchange rate at the time of payment. Guests requesting single-room occupancy will incur a supplemental fee.

A deposit of 30% or full prepayment is required to confirm your reservation. The balance payment is to be made 45 days prior arrival and must be cleared either before arrival or upon arrival in Bhutan, depending on the arrangement. Certain premium packages involving luxury stays may require full payment in advance, which will be clearly communicated beforehand. Once your trip is confirmed, the quoted price is guaranteed.

All travelers below 18 years must be accompanied by a responsible adult. Adults accompanying minors are fully accountable for the child’s behavior, safety, and compliance with all tour conditions throughout the journey.

Airfare: both international and domestic is not included unless specified. When we assist in booking flights, we do so as intermediaries; the airline’s terms and policies apply. We do not accept responsibility for changes in fares, delays, or route modifications.

It is essential that your passport is valid for at least six months from the date you plan to travel to Bhutan. We handle your Bhutan visa and internal permits. However, obtaining travel documentation for other countries you plan to visit remains your responsibility. We are not accountable for denied entries due to missing or invalid documents.

Tips for your guides, drivers, or trekking crew are not included in the tour price. They are appreciated but entirely optional and based on your satisfaction.

If unexpected developments arise such as natural events or other unavoidable circumstances, we may need to adjust itineraries or services. Any substantial changes will be communicated promptly when time permits.

Should you wish to amend your travel plan, please send your request in writing. While we do our best to meet such requests, we cannot guarantee availability. Any added costs that arise from the requested changes will be your responsibility.

Cancellations must be made in writing and will be subject to the following refund structure, based on the date the notice is received: • 45+ days before trip: Full refund • 30–44 days: 80% refund • 20–29 days: 50% refund • 15–19 days: 30% refund • 0–14 days: No refund Please note that any transfer fees or bank charges for refunds are borne by the client. During major Bhutanese festivals, holidays, or religious events, access to services and attractions may be limited. If certain venues are closed or changes are needed, we’ll offer suitable alternatives where possible. Bhutan Holiday Trips is not responsible for such closures or changes due to external factors.

While we do our utmost to ensure your safety and comfort, travel inherently involves some risk especially in remote or high-altitude areas. Risks may include travel delays, political unrest, natural events, or limited medical access. By joining our trips, you acknowledge these potential hazards and agree that we are not liable for them.

Trip prices do not include insurance. All travelers must secure their own travel insurance in their home country prior to departure. Your plan should cover cancellation, emergency evacuation (including helicopter rescue for high-altitude trekkers), medical care, baggage loss, and other unexpected travel disruptions.
